Privacy notice

1. Who we are

This website is operated by K-12 Top Tutors ("we", "us"). We provide live group courses and private tutoring for school learners, taught by our teachers. For any question about this notice or your information, write to mohabahmed476@gmail.com.

2. The information we collect

We collect only what we need to run courses and keep accounts safe:

• Account details: your name, email address, a mobile number if you choose to give one, the language you prefer and, if you sign in with Google, the name and email address Google confirms to us. Your password is never visible to us; it is stored in protected (hashed) form.
• Learner details: the learner's name, education system, school year, the school's name if you give it, and the courses and groups they are enrolled in. A parent or guardian can add their children to their own account.
• Learning records: lesson schedules, attendance, assignments and submitted work, marks and feedback from teachers.
• Orders and payments: what was ordered, the amount, the date and the bank-transfer reference you give us. We do not collect or store bank-card numbers.
• Messages you send us through the contact and support forms.
• Technical information: the pages you request, the time, and your network address, used to protect sign-in and forms against abuse. A record is kept of important actions on accounts (for example a change of password, or a staff member opening a record).

3. Why we use it

• To create and secure your account and sign you in.
• To enrol learners, schedule and deliver lessons, and show progress to the learner, their parent or guardian and their teachers.
• To confirm payments and keep the financial records the law requires.
• To answer your requests and send messages about your account, such as a password-reset email.
• To prevent misuse, investigate problems and keep the service working.

We do not sell personal information, we do not use it for advertising, and we do not make automated decisions that have a legal effect on you.

4. Children and young people

Our learners are school-age children and young people. A learner under 18 may use the service only with the permission of a parent or guardian, who is responsible for the account and can see the learner's courses, schedule, results and payments.

A learner's information is shown only to that learner, their linked parent or guardian, the teachers who teach them and the staff who need it to do their work. Learners cannot see each other's records.

A parent or guardian can ask us at any time to correct or delete their child's information by writing to mohabahmed476@gmail.com.

5. Who we share it with

Inside K-12 Top Tutors, access is limited by role: teachers see only their own groups, and staff see only what their job requires. Outside, we use a small number of service providers who process information on our instructions:

• Supabase — the database, sign-in and file storage, hosted in London, United Kingdom.
• Vercel — hosting of the website, served from London, United Kingdom.
• Resend — delivery of account emails such as password resets.
• Google — only if you choose "Sign in with Google", to confirm who you are.

We may also disclose information where the law requires it. We do not share personal information with anyone else.

6. Where your information is stored

Your information is stored on servers in the United Kingdom. This means it is transferred outside the country you live in. We use providers that apply recognised security standards, and connections to them are encrypted.

7. How long we keep it

• Account and learning records: for as long as the account is open, and for a reasonable period afterwards in case you return or a question arises.
• Payment records: for as long as accounting and tax law requires.
• Security and activity records: for as long as needed to investigate misuse.
• Files that our staff export for administration: 30 days, after which they are deleted automatically.

When information is no longer needed we delete it or make it anonymous.

8. Cookies

We use only the cookies the site needs to work: one that keeps you signed in, and small ones that remember which account view and which family member you chose and what you were enrolling in before you signed in. We do not use advertising or tracking cookies, and there are no third-party analytics on this site.

9. Recording of lessons

Live lessons are not recorded at present. If we introduce recording, we will update this notice and tell learners and their parents or guardians before any lesson is recorded.

10. How we protect it

Connections to the site are encrypted. Each person can reach only the records their role allows, and that rule is enforced in the database itself, not only on the screen. Important actions are logged. No system is perfectly secure; if a breach affects you, we will tell you and the competent authority as the law requires.

11. Your rights

You can ask us to:

• tell you what information we hold about you or your child and give you a copy;
• correct information that is wrong or incomplete;
• delete your account and information, where we are not required by law to keep it;
• stop or limit a particular use of your information.

Write to mohabahmed476@gmail.com. We may need to confirm your identity first, and we will answer within a reasonable time. You also have the right to complain to the data-protection authority in your country.

12. Changes to this notice

If we change this notice we will publish the new version on this page with a new date. If the change is significant, we will tell account holders by email or on the site before it takes effect.
